Telegram bot for lead capture: how it works and what it does

A Telegram bot can take enquiries from clients, collect data into a spreadsheet or CRM, and send you notifications. It is more convenient than a website form if clients are already in the messenger and do not want to jump to external pages. We explain how such a bot works, what it actually does, and when it is worth building.

Why a business needs a lead bot in Telegram

A website form works, but the client has to visit the site, find the form, fill in the fields, wait for it to send. If they are already in Telegram, it is easier to message a bot.

A bot gives two advantages. First - low barrier to entry: the client opens a chat and sends a message immediately. Second - you see the enquiry instantly, can reply in the same thread, and do not lose context.

This works for services where the client already knows what they want: repairs, delivery, booking a consultation, ordering a product. If the product is complex and needs a preliminary discussion, the bot is still useful - it collects the initial data and passes it to a manager.

Not suitable if your audience does not use Telegram or if you need a complex funnel with nurturing. A bot is an entry point, not a sales tool.

How a bot works: from button press to spreadsheet entry

A bot is a program that lives on a server and communicates with Telegram via API. When a client sends a message, Telegram passes it to the bot, the bot processes it and replies.

Typical workflow: client presses the button 'Leave enquiry', bot asks questions in order (name, phone, description of task), collects answers, validates format (for example, that the phone actually looks like a phone), writes data to Google Sheets or a CRM, and sends you a notification in chat or by email.

The bot cannot think for itself. You define all scenarios in advance: which buttons to show, which questions to ask, where to send the data. If the client writes something unexpected, the bot either asks them to choose from the offered options or says it did not understand.

Technically, a bot can be simple (one button, three questions, write to spreadsheet) or complex (multiple dialogue branches, CRM integration, payment inside Telegram). Complexity affects cost and development time.

What a bot can do with enquiries

Collect data through dialogue. The bot asks questions in sequence, the client answers with text, voice, files, or by pressing buttons. You can configure format validation: phone is entered as digits, email contains @, date is chosen from a calendar.

Write to Google Sheets, Airtable, your CRM, or a database. It depends on where you store enquiries. If you already have a record-keeping system, the bot can be integrated with it via API.

Send notifications. The bot can duplicate the enquiry to your personal chat, to a group chat with managers, or to email. You see a new enquiry immediately, without opening the spreadsheet.

Confirm receipt to the client. After sending, the bot writes: 'Enquiry received, we will contact you within an hour'. This reduces anxiety and the number of repeat messages.

Integrations: CRM, payment, calendar

If you work in AmoCRM, Bitrix24, or another system, the bot can be connected to it directly. An enquiry from Telegram lands in the CRM as a new deal, the manager sees it in their interface and works as usual.

Telegram supports payment acceptance via built-in API. The bot can take a card payment right in the dialogue, without jumping to an external site. This works for simple products: tickets, subscriptions, digital goods. For complex baskets or instalments you need a full e-commerce site.

You can integrate a calendar for service bookings. The bot shows available slots, the client chooses a time, the bot reserves it in Google Calendar or your booking system. This is convenient for salons, clinics, consultations.

Each integration is additional development time. If Google Sheets is enough for you, start with that. CRM integration can be added later.

When a bot is not needed

If you get three enquiries a month, a bot is excessive. Clients can message you directly in personal messages, it is faster and cheaper.

If the audience is not on Telegram. Check where your clients are. For B2B segments or older demographics, Telegram may not be the main channel.

If an enquiry requires a detailed description with photos, documents, and discussion of details, the dialogue with a bot will drag on. In this case a website form with the ability to attach files or a direct call to a manager is better.

A bot is automation of routine. It does not replace a consultation and does not close complex questions. If every enquiry is unique and requires discussion, the bot will only collect contact details, and then a person takes over.

What development costs and how the price is formed

Price depends on the complexity of scenarios, number of integrations, and interface design requirements. The studio website publishes a 'from' range for the service - an exact quote appears after the brief, when it is clear what exactly is needed.

A simple bot with one dialogue branch, writing to Google Sheets, and notification to chat is the base level. Adding CRM integration, multiple dialogue branches, data validation, and a calendar increases the cost.

If you already have an API for your record-keeping system, integration takes less time. If there is no API and we need to work out the internal logic of your CRM, that is a separate task.

We discuss the task directly with the person leading the project. You get a quote as a list of blocks: dialogue development, spreadsheet integration, notification setup. If the quote came as one line with a final sum - that is not a quote, that is a number.

How to accept the work and check that the bot does what is needed

Before launch, test all scenarios. Send an enquiry with correct data, with incorrect data (wrong phone format, empty field), check that the bot reacts correctly.

Make sure data lands where it should: open the spreadsheet or CRM and find your test enquiry. Check that the notification reached you in chat or by email.

Ask a few people from the team or friends to go through the dialogue with the bot as clients. They will spot non-obvious inconveniences: unclear wording, unnecessary steps, missing prompts.

The bot must work correctly not only in the ideal scenario, but also when the client makes a mistake, cancels an action, or does not reply for a long time. Check these cases separately.

Support and updates after launch

After launch, the bot requires minimal maintenance if the scenarios are worked out. But if the business logic changes (new services, different fields in the enquiry, additional dialogue branch), updates will be needed.

Telegram occasionally updates its API, and the bot needs to be adapted to changes. This is rare, but it happens. Technical support includes monitoring performance and fixing errors if they appear.

If you plan to regularly change scenarios or add features, discuss this at the development stage. You can build in a flexible architecture so that edits do not require rewriting the bot from scratch.

The studio website has a support tier - this is a separate service. If the bot runs stably and no changes are planned, paying for support is not mandatory.

If this is already on your plate, here is how we do it end to end: Telegram bot development.

Frequently asked

Can I make a bot without a developer, using a builder?

Yes, if you need a simple scenario without integrations. Builders like Botmother or Chatforma let you configure dialogue and connect Google Sheets. But if you need integration with your CRM, complex logic, or payment, a builder will not cope - development is required.

Can the bot answer client questions itself?

It can, if you write answers to typical questions in advance. The bot works by scenario: the client chooses a question from a menu, the bot shows a prepared answer. If the question is not covered, the bot passes it to you. A full dialogue with context understanding is an AI bot, more complex and more expensive.

How long does development take?

A simple bot with a basic scenario takes one to two weeks. If integrations, multiple dialogue branches, or payment are added, the timeline extends to three to four weeks. Exact timelines depend on task complexity and are discussed after the brief.

Can the bot work in WhatsApp or other messengers?

It can, but that is separate development. WhatsApp uses a different API, and the connection logic differs from Telegram. If you need a bot in several messengers at once, this is discussed at the planning stage and affects the cost.
